The paper left in your letterbox after a failed delivery attempt is short, dense and highly patterned, which makes it an ideal reading exercise. It tells you when the driver called, what kind of item is waiting, who sent it, the number that identifies the parcel, which depot is holding it, how long they will hold it, and every route you can use to get it back. This guide walks the slip from top to bottom, then takes you through the automated phone line, the redelivery form, the time bands, and the short conversation at your door.

What the slip is and where it lands

When a driver cannot hand a parcel over, they leave a printed notice in your letterbox and take the item back to the local depot. The notice is not a bill and not a warning; it is a receipt for a failed attempt plus a set of instructions. Most companies use the same layout, so once you can read one you can read all of them. The header names the company and the words ご不在連絡票, the middle holds the parcel details, and the lower third holds the contact routes.

Two things on the paper matter more than the rest: the long number that identifies the parcel, and the date after which the depot stops holding it. Everything else is context. If you learn to find those two fields in five seconds, you can leave the rest of the reading for later and start the rebooking straight away.

Two of these deserve special attention. 保管期限 is the only deadline on the paper, and 代金引換 or 着払い means you must have cash or a card ready when the parcel arrives. If the slip shows クール便, the depot is holding something chilled, so choose the earliest realistic slot rather than the most convenient one.

Reading the attempt line and the deadline

The upper block is written in stiff written Japanese with humble verbs, which is why it looks harder than it is. 伺いました is simply the polite form of came or visited, and あがりました does the same job. Read these lines once slowly, and they become recognisable shapes rather than sentences you have to parse.

The routes back to your parcel

The lower third of the slip lists several ways to reach the same result, and they are not equally fast. Choose by how much Japanese you want to produce and how soon you need the item. The web form asks nothing of your speaking; the automated line asks only for digits; a human call is quickest when something unusual is going on, such as a wrong address or an item you want held longer.

  • The website or app printed on the slip, usually with a QR code beside it, where you type the number and pick a slot.
  • The automated telephone line, which reads a menu and collects the number on the keypad.
  • The depot's direct number, answered by a person during opening hours.
  • Collecting the parcel yourself at the depot counter, which is often possible the same evening.
  • Redirecting the parcel to a nearby convenience store, where offered for that item type.
  • Asking for a delivery box, a neighbour, or a doorstep drop, where the building and the item allow it.

The automated phone line, prompt by prompt

Automated lines speak quickly and politely, and they repeat everything, so a first pass that you only half understand is fine. Wait for the number, press the key, and let the system confirm. The exact wording differs between companies, but the shape below is typical: greeting, request for the number, hash to finish, menu, date, time band, confirmation.

Two words carry most of the meaning here. 入力 (nyūryoku) means enter or type, and 選択 (sentaku) means choose. If you catch either one, the next thing you hear is a set of numbers, so keep your finger over the keypad rather than trying to translate the full sentence.

Talking to a person at the depot

A human call is short and follows a fixed order: you say what you want, give the number, give the date and band, and confirm. Lead with 再配達をお願いしたいのですが, which signals the whole purpose of the call in one line, and staff will then ask you for the number rather than the other way round.

Booking on the website or in the app

The online route is the same form everywhere: identify the parcel, confirm the address, pick a date, pick a band, confirm. Many slips carry a QR code that opens the form with the number already filled in, which removes the only step where a typing mistake is likely. Some sites also accept a shorter code printed near the barcode instead of the full number.

If the form rejects your number, check for a leading zero and for the difference between the tracking number and a customer reference printed nearby. If it rejects the postcode, the sender may have written the address slightly differently, and that is the case where a human call solves things faster than another attempt at the form.

Choosing a time band

Redelivery is booked by band rather than by exact time, and you choose it by number. Bands differ between companies and have changed over the years, so read the ones printed on your own slip; the set below is the common shape. Evening bands fill first, so if you need one, book early in the day.

Delivery boxes, doorstep drops and neighbours

Many buildings have a 宅配ボックス, a bank of lockers in the entrance hall. If the driver uses one, the slip will show a locker number and often a code or the note that your building key opens it. 置き配, leaving the parcel at the door, is offered for some items and refused for others, and it is a request you make in advance rather than at the door. Leaving a parcel with a neighbour still happens in older buildings but is far from standard, and staff will normally ask before doing it.

Collecting it yourself

Going to the depot is often the fastest route, especially in the evening after the drivers have returned. Take the slip and a photo ID, since the counter matches your name to the parcel. Convenience-store collection, where offered, works differently: staff pull the parcel from a shelf against a number or a code on your phone, and you sign a small screen or a sheet.

Cash on delivery and the doorstep exchange

The conversation at your door is one of the most repeatable scripts in daily life. The driver announces the delivery, you confirm you are the right person, you sign or stamp, and you thank them. If the slip showed 代金引換 or 着払い, the payment happens in the same thirty seconds, so have money or a card in your hand before you open the door. Whether cards or electronic payment are accepted varies by company and by item, so ask when you book rather than at the door.

ご苦労さま is the warm, ordinary thing residents say to a driver, and it costs you nothing. If you would rather stay neutral, ありがとうございます alone is always safe.
